Registration will start on Sunday March 3rd in the afternoon.

The opening session is scheduled to take place on Monday March 4th at 8:30;

the conference will end on Thursday March 7th in the afternoon

Session hours are 8:30 - 12:00 and 13:30 - 17:00

Sessions of the conference will be held in the ICISE conference Center.

The following equipment will be available:

• video projector for computer presentations
• internet access will be available at the conference site. A wireless hub is installed and covers the whole conference building

Participants will be expected to arrive on Sunday March 3rd and will leave on Thursday March 7th in the afternoon

For 2024, we can offer two possibilities of accommodation in a four star hotel : the Seagull Hotel and the ANYA hotel

All sessions will be held in the ICISE conference center, 10 minutes taxi (or one hour walk) away from the hotels. (you can visualize it on this map). Daily bus transfer (morning and end afternoon) will be provided by the conference organization.

Breakfast will be served in the hotels for all participants. Lunch and dinner will be served at ICISE and in restaurants in town.

Payment for board and lodging should be done online with Vietnamese currency VND. The exchange rate is fixed to be 1 USD = 24 500 VND

Important Note:

• Hotel reservations are made for the whole duration of the meeting, i.e. from Sunday March 3 afternoon to Thursday noon March 7. Please note that the total cost of the meeting cannot be reduced even in case of partial attendance.
• If you intend to arrive before Sunday March 3 or leave after Thursday March 7, please let us know in advance so that we can try to make the appropriate hotel reservation for you: contact rencontres.vietnam@gmail.com
• Please note also that if you arrive before midday and wish your room to be made available immediately, you will be charged for an extra day. You must inform us so that the hotel can prepare your room in advance.

There are two main international airports in Vietnam : Hanoi (Noi Bai airport : HAN) and Ho Chi Minh (Tan Son Nhut airport : SGN).

To take a flight to Quy Nhon, Binh Dinh, you need to find a ticket to Phu Cat airport (UIH).

As there more flights from Ho Chi Minh to Quy nhon, it is more convenient to fly from foreign countries to Ho Chi Minh than to Hanoi.

Visa exemptions

All participants do require a visa to visit Vietnam, except for few exemptions listed below.

Vietnam Visa exemption is granted to holders of a passport from:

• Thailand, Malaysia, Singapore, Indonesia, Cambodia and Laos for visits of 30 days at the maximum.
• Philippines for visits of 21 days at the maximum.
• Japan, South Korea, Sweden, Norway, Denmark, Russia, Finland, France, Germany, Italy, Spain, United Kingdom, Belarus, Northern Ireland for visits of 45 days at the maximum.

This is valid until March 14, 2025.

To obtain a visa

Citizen of all countries may apply for a conference visa through the Internet: e-Visa

• while filling up the form, on the item "purpose of entry" you should select "summit, conference"
• the e-visa is generally obtained in 4 working days and valid for 90 days. Beyond this delay, you should check your application status by following the instructions indicated on the e-visa application webpage.
• your passport should be valid more that 60 days after date of entry in Vietnam
• the e-visa cannot be renewed nor extended
• it costs 25 USD not refundable even when the visa is refused

Note : if you want to apply for a conference visa at the Vietnamese Consulate of your residence country instead of applying for a conference evisa online, you should first get a "visa approval letter", which has to be requested for you by the conference organiser. So you should ask for it as soon as possible, and this at the latest on February 4 , to the conference secretariat (it may take 2-3 weeks and will cost 120 USD to be paid at registration, the first day of the conference). Then you will be able to get the actual visa at your nearest vietnamese consulate (within a few days - 3 to 6).

The transfer should indicate clearly your name to identify the payee. Please inform the conference secretariat by fax or email that the transfer has been done. You should obtain proof of payment and hand it to the conference secretariat at the conference site. It will take at least four (4) weeks for our account to be credited, so please have the transfer made before Febuary 3rd, 2024.
